A useful HOA financial packet is built for decisions.

Boards need more than a profit and loss report. A good monthly packet explains cash, owner balances, payables, reserves, variances, and items that need board action.

Recommended packet order

  1. Executive summary with cash, AR, AP, reserve, and action-item notes.
  2. Balance sheet or statement of financial position.
  3. Income and expense report with budget comparison.
  4. Bank reconciliation summary for each account.
  5. Owner ledger aging and delinquency summary.
  6. Accounts payable and unpaid invoice schedule.
  7. Reserve activity and special assessment schedule, if applicable.
  8. Open accounting questions or board approval items.

What board members should be able to answer

Why the summary matters

Many volunteer board members will not read every accounting report line by line. The packet should still include detail, but the front page should identify the issues that matter: reconciliations complete, cash position, delinquency trend, unusual expenses, reserve activity, payables, and board action items.
