How to use PayHOA aging reports without turning accounting cleanup into a collection problem.

Aging reports are useful only when the underlying owner ledger is clean. Before a board discusses delinquency, collections, payment plans, or legal handoffs, the report should be tied back to charges, payments, credits, late fees, and recent account activity.

Why aging reports need an accounting review

PayHOA's report library includes delinquent account reporting, accounts receivable information, prepaid owner balances, general ledger detail, payment reporting, and bank reconciliation tools. Those reports give the board useful visibility, but they do not replace the judgment needed to decide whether a balance is clean enough for board action.

The most common mistake is treating an aging report as a collection list. It should first be an exception report. Some accounts are truly past due. Others need a credit resolved, a payment matched, a transfer reviewed, a late fee checked, or a payment plan status updated.

1. Start with a clean report snapshot

Pull the delinquent accounts or aging report after the monthly close, not in the middle of reconciliation work. Confirm bank reconciliation status, recent payment posting, returned payments, transfers, and unapplied credits before the report is distributed.

The report date matters. A balance pulled before recent payments are posted can create owner frustration and unnecessary board discussion.

2. Sort accounts into decision lanes

Do not send every balance to the same workflow. Separate accounts into current charges, 30/60/90+ aging, valid credits, disputed balances, payment plans, board-approved waivers, resale or transfer issues, and accounts ready for legal review.

This makes the board packet easier to use. Directors can focus on exceptions that require policy decisions instead of scanning every owner balance line by line.

3. Tie each balance to owner ledger activity

For each account requiring action, review the owner ledger detail: recurring assessments, special assessments, fines if applicable, late fees, payments, credits, reversals, transfers, and adjustments. The goal is to make the balance explainable in plain language.

If the balance cannot be explained, it belongs in accounting cleanup, not collection escalation.

4. Build a board-ready delinquency packet

A strong packet should show the report date, total accounts receivable, past-due total, credits or prepaids, top exceptions, recommended accounting corrections, accounts on payment plan, accounts needing owner communication, and accounts requiring board or counsel direction.

The board should also see changes from the prior month. A static aging list does not show whether the problem is improving, worsening, or simply moving between aging buckets.

5. Control owner and legal handoffs

Owner communication should be based on a reviewed balance. Legal handoffs should be based on an even tighter record: owner ledger detail, payment history, notices, board approvals, governing-document authority, and counsel instructions.
